What is an EDMS?
An EDMS, or engineering document management system, is the controlled system an engineering organisation keeps its drawings, models, and technical documents in. Each one is held as a numbered, revisioned record rather than a file in a folder, so the document has an identity of its own: a number, a discipline, a current revision, a status, and a history of every change made to it.
That record is what the folder never gives you. A shared drive holds copies, and the copy tells you nothing about which revision is controlled, who approved it, or what it superseded. An EDMS answers all three for every document it holds, from a DWG to a Word method statement.

Engineering, or electronic? Both, and they differ.
EDMS expands two ways, and the expansions name two categories. An electronic document management system is the generic office-document category: it stores a file, versions it, routes it for approval, and controls who can open it. Vendors of business-wide content platforms usually mean this one.
An engineering document management system does all of that, then adds what a drawing needs and a report does not: CAD-aware handling of title blocks and external references, identity by drawing number, revisions with an issued status, engineering metadata, and controlled issue by transmittal. An engineering system finds a document by its number, and every revision belongs to that number for the life of the asset. A generic system finds a file by its name and its folder.

An engineering revision is an issued state, with a letter or number printed on the sheet, an approver against it, and the superseded copy kept on the record. A version history only records that somebody saved a change.
