One row per drawing, one column per issue.
The template is built from document-control practice, not a blank grid. Seven columns describe the drawing and where it stands, and eight issue columns record the revision sent each time the set went out.
The Issues sheet gives every issue column its date, transmittal, purpose, and recipient. The drawing numbers stay in view as you scroll across, and a third sheet explains how to fill it.
- 01Drawing number
The controlled drawing number. Keep the format consistent across the project so the list sorts cleanly.
- 02Title
The drawing title as printed in the title block.
- 03Discipline
The discipline the drawing belongs to, picked from a dropdown of Architectural, Structural, Civil, Mechanical, Electrical, Hydraulic, Fire, Survey, Landscape, Geotechnical, or General.
- 04Sheet size
The paper size the drawing is set up for, picked from A0 to A4.
- 05Scale
The drawing scale, for example 1:100, or NTS for not to scale.
- 06Current revision
The latest revision issued, so the first columns show where the set stands.
- 07Status
Where the drawing sits in its life, picked from a dropdown of Draft, Issued for review, Issued for construction, As-constructed, or Superseded.
- 08Issue 01 to Issue 08
One column per issue. Each cell holds the revision that went out at that issue, and stays empty for a drawing that was not sent. The Issues sheet gives every column its date, transmittal, purpose, and recipient.
- 09Notes
Anything else worth recording against the drawing.
Fill a column every time the set goes out.
Six steps keep the list reliable. Work through them at every issue, and the list stays a true picture of what the set contains, where each sheet stands, and what every package carried.
List every drawing once
Give each drawing in the set its own row, with its number, title, discipline, sheet size, and scale. The list is the index of the set, so add a row as soon as a drawing number is allocated.
Log the issue before you fill the column
Before each issue, fill the next row on the Issues sheet with the date, the transmittal reference, the purpose of issue, and who it goes to. Issue 01 on that sheet is the key to the Issue 01 column.
Enter the revision that went out
In that issue's column, type the revision of every drawing that was sent. Leave the cell empty for a drawing that was not, so an empty cell always means not issued.
Update the current revision and status
Move the current revision and the status on for each drawing you issued, following your revision numbering scheme, so the first columns show where the set stands today.
Never overwrite an earlier issue
A cell records what was sent on that date. When a drawing is revised, its new revision goes in a later column and the earlier cell stays as it was, so the row keeps the full history.
Add columns when the eight fill
When Issue 08 is used, insert more issue columns to the left of Notes and add matching rows to the Issues sheet. The table extends to take them.
What a filled-in drawing list looks like.
The file arrives with seven drawings and seven issues already on it, from one worked project: a ferry terminal and wharf called Aurora Wharf. Read a row across for one drawing's issue history, or a column down for everything one transmittal carried.

Revision B went out at Issue 03, the design review set under TR-0030 on 10 February, and Revision C at Issue 05, for construction under TR-0042 on 15 March. The empty cells matter as much as the full ones: the plan was not part of Issues 01, 02, or 04, so nobody should be holding it from those packages. The note records what changed at C, the gate line moved 600mm east.

One column is one transmittal. Issue 04 carried three structural sheets to the joint venture after the pile schedule update: the deck framing plan and sections at Revision B and the new pile schedule at Revision A. If site asks what came in that package, the answer is the column, and the same three sheets appear against TR-0039 on the transmittal register template.

Revision A went to the joint venture at Issue 01 in December and Revision B replaced it at Issue 06 in March. The list keeps both cells, so the row shows when A stopped being current. For the detail on A itself, its revision date, description, and Superseded status, the drawing register template keeps one row per revision.
The same Aurora Wharf project runs through all seven templates, using the same document numbers, so the registers line up if you take more than one.
A spreadsheet issue sheet works, until it does not.
A list like this is quick to start, everyone can read it, and it shows a whole drawing set and its issues on one page. It keeps working until two things happen: a revision lands in the wrong issue column, and the files that went out stop matching the cells that say they did. When the list has to be checked against the transmittals to be trusted, that is the sign to move the record into drawing management software.
Issue transmittals against drawings held under revision control, and the revision of every file sent is logged with the recipient and the date.
The drawing files carry their own revision history, so the current revision on the list can never drift from the sheet.
XRAY runs OCR and full-text search across every drawing, scans included, so a tag on an old sheet is findable.
Open DWG, DGN, and PDF drawings in the browser, so the whole team can read a sheet without a CAD seat.
Lunr is drawing management software built for the record. It holds the files under revision control, issues transmittals against them, and keeps every drawing under one controlled register, so the issue history is written as the set goes out.
Questions about drawing lists.
What a drawing list and an issue sheet are, how the list differs from a register, the columns it needs, and when a spreadsheet has done its job.
- What is a drawing list?
- A drawing list is the index of every drawing in a set: one row per drawing, with its number, title, discipline, sheet size, scale, and current revision. It tells you what the set contains and where each sheet stands. This template adds the issue history to the same row, so the list doubles as a drawing issue sheet.
- What is a drawing issue sheet?
- A drawing issue sheet is a grid with the drawings down the side and the issues across the top. Each cell holds the revision of that drawing sent at that issue, and an empty cell means it was not sent. Read across a row for one drawing's issue history, or down a column for everything one transmittal carried.
- Should I use a drawing list or a drawing register?
- Use a drawing list when you need to see the whole set and its issue history at a glance, one row per drawing. Use a drawing register when you need each revision's own date, description, and status, one row per revision. Many projects keep both, and the free drawing register template uses the same drawing numbers as this one.
- What columns does a drawing list need?
- At a minimum, a drawing list needs the drawing number, title, discipline, and current revision. A list that also works as an issue sheet adds one column per issue, plus a key that gives each issue its date, transmittal reference, purpose, and recipient. This template ships all of these, with sheet size, scale, status, and notes.
- When should you move off a spreadsheet drawing list?
- A spreadsheet list works until a revision is typed into the wrong issue column, or the files that went out no longer match the cells that say they did. When the list has to be checked against the transmittals to be trusted, move the record into drawing management software that issues transmittals against drawings held under revision control and logs every change.
- Does the template work in Excel and Google Sheets?
- Yes. The .xlsx file opens in Excel with the header styling, the drawing numbers frozen in place as you scroll across the issues, the dropdowns, and separate Issues and How to use sheets. The .csv copy opens anywhere, including Google Sheets, and holds the drawing list itself with the same columns and example rows, without the formatting or the Issues sheet.
Five more registers, free to download.
Each one ships as an Excel file with dropdowns, a frozen header row, example rows over the same worked project, and a second sheet explaining every column, plus a CSV copy for Google Sheets. No email, no form.
